This privacy policy explains how bettercallmate ("we", "us", "our") collects, uses, and protects your information when you use our flatmate first-round call service. By using bettercallmate, you agree to this policy.

2. Information we collect

We collect the following types of information:

  • Account information: Email address, name, and password when you create an account
  • Listing content: The text you paste from your flatmate listings, including any personal details, preferences, or requirements you include
  • First-round questions: Questions generated for your listings and any edits you make
  • Applicant information: Names and email addresses that applicants voluntarily provide before their first-round call
  • Voice recordings and transcripts: Audio from first-round calls is processed by our AI voice partner (ElevenLabs) to run the call and generate transcripts. We do not store audio on our servers. Voice data may be considered biometric in some jurisdictions. ElevenLabs may retain and process voice data as described in their privacy policy .
  • Usage data: How you interact with our service, including pages visited and features used

3. How we use your information

We use your information to:

  • Provide and operate the bettercallmate service
  • Generate first-round questions based on your listing content
  • Conduct AI voice first-round calls with applicants
  • Create transcripts and summaries of first-round calls
  • Store and display applicant responses to you
  • Improve our service and fix issues
  • Communicate with you about your account

4. Third-party services

We use the following third-party services to operate bettercallmate:

  • Amazon Web Services (AWS): For hosting, authentication, and data storage. Your data is stored in AWS data centres.
  • ElevenLabs (AI voice partner): For conducting first-round calls and generating transcripts. Call audio and voice data are processed by ElevenLabs and may be transferred to, and processed in, the United States or other jurisdictions as described in their privacy policy .
  • AI services: For generating first-round questions and summarising call transcripts. Your listing text and call transcripts are processed by AI to provide these features.

We do not sell your data to third parties. We do not share your personal information with third parties for their marketing purposes. Third-party services only receive the minimum information necessary to provide their specific function.

5. Data retention

We retain your data for as long as your account is active or as needed to provide you with our services:

  • Account information is kept until you delete your account
  • Listings and associated data are kept until you delete them or your account
  • Audio recordings are not stored by bettercallmate. Call audio is processed by ElevenLabs to run the call and generate transcripts and may be retained by ElevenLabs for a limited period as described in their privacy policy.
  • Transcripts are retained for 30 days to allow you to review applicant responses, after which they are automatically deleted.

6. Your responsibilities

As a user of bettercallmate, you are responsible for:

  • Content you share: Any personal information, preferences, or requirements you include in your listing text. We process this information as provided - ensure you're comfortable with what you share.
  • First-round questions: Reviewing and approving the first-round questions before activating your listing. You are responsible for ensuring questions comply with applicable anti-discrimination laws in your jurisdiction.
  • Informing applicants: Making applicants aware that their first-round call will be recorded and transcribed by an AI voice partner. Our call page informs applicants of this, but you may wish to mention it when sharing the link.
  • Age requirements: Do not submit or upload voice data from anyone under 18. ElevenLabs does not knowingly process voice data from children under 18.
  • Applicant data: How you use and store applicant information you receive through our service. You must handle applicant data in accordance with applicable privacy laws.
  • Lawful use: Using the service in compliance with all applicable laws, including anti-discrimination legislation, tenancy laws, and privacy regulations.

7. Applicant consent

When applicants use a call link you've shared, they are informed that:

  • Their call will be transcribed (we do not store audio on our servers)
  • Their responses will be shared with the person who created the listing
  • They voluntarily provide their name and contact details
  • Transcripts are retained for 30 days then automatically deleted
  • Call audio is processed by ElevenLabs as our AI voice partner

By starting the first-round call, applicants consent to this data collection and sharing. As the listing creator, you receive this information to assess compatibility for your listing.

8. Data security

We implement appropriate technical and organisational measures to protect your data, including:

  • Encryption of data in transit and at rest
  • Secure authentication through AWS Cognito
  • Access controls to limit who can access your data
  • Regular security reviews of our systems

ElevenLabs publishes its security measures and audit certifications at compliance.elevenlabs.io .

However, no system is 100% secure. You acknowledge that you provide information at your own risk.

9. Your rights

Depending on your location, you may have rights including:

  • Accessing your personal data
  • Correcting inaccurate data
  • Deleting your data
  • Objecting to certain processing
  • Data portability
